Manage your employees' attendance from your ERP system

Whether for offices or workshops, time and attendance systems are still very much in evidence today. But what do you do if you've forgotten your badge or time card, or the time clock is a long way from your workplace? Odoo makes it easy to set up a time and attendance system to suit your needs.  

Before talking about configuration, it would be wise to first learn about the different possibilities offered by the system. In terms of time and attendance, Odoo has focused primarily on the types of employee, namely those who work with a computer and can manage this themselves and those who work in a workshop and do not have a personal computer. Odoo has therefore created an 'individual' solution and a 'group' solution. 

The individual solution

The individual solution enables employees who have an Odoo user account to record their attendance times directly using the "arrival/departure" functionality. This allows employees to indicate the start and end of their working day. Of course, employees can log in and out as often as they like during the day (for lunch breaks or coffee breaks, for example).


As soon as the employee logs off, a summary of the last session is displayed. This summary also shows the number of hours of overtime worked (or not).

 

The collective solution

This solution enables employees who either do not work with a personal computer or do not have Odoo user access to record their working hours. To do this, a kiosk mode has been set up. This kiosk allows employees to choose their employee file configured in the system and to record their hours worked there. 


Configuration

Configuring this module is fairly straightforward, as it mainly only concerns kiosk mode. As the individual solution is linked to each user's computer, there is no possibility of fraud in terms of identification. Kiosk mode, on the other hand, presents opportunities for false identification, so Odoo has introduced various modes to improve the security of presence activation.. 

Firstly, there is the "manual selection" mode. This mode simply allows you to select the employee you are and start/stop your working hours. Anyone can do this and select an account without any further checking. 

Secondly, there is the "manual selection with PIN code" mode. This method allows you to create a PIN code (to be found on the employee's Odoo file) and to identify yourself by first selecting the employee file and then entering your personal PIN code. This already provides better authentication thanks to this code, which is supposed to remain secret from everyone.

Thirdly, there is the most secure method of all, reading a barcode (or RFID) on the employee's badge, for example. Has your employee forgotten their badge? Manual selection with the PIN code is always available for this kind of situation. 

Finally, it is possible to configure an overtime tolerance time. This allows you to set a period of time (counted in minutes) during which overtime will not be deducted, to the benefit of either the employer or the employee. 

With this easy-to-implement configuration, allow your employees in your various departments (office or workshop workers) to easily record their hours so that you can track them quickly and easily, using the same tool you use for your other departments. 

Attendance analysis 

The "Attendance" tab lists all the different work sessions per employee. Regardless of the number of sessions during the day, they will all be listed and visible. Thanks to Odoo's standard list view, classic analysis possibilities are already possible thanks to "group by" or filters (to see who arrived after a certain time, for example).


The 'Analysis' tab provides more visual reporting, with a number of graphs available, automatically filtered by arrivals for the current month. These graphs can be expanded with overtime hours if desired. These hours are calculated on the basis of the working hours configured for the employee. Finally, a pivot table is also available for more detailed analyses. 

As you will have noticed, the attendance module is a simple module that allows you to integrate attendance recording into the same ERP system you use for the rest of your activities. It allows you to respond to the different needs your company may have, and thanks to its efficient and modifiable reporting, you can track the hours worked by your employees as you wish.
